Copy, Paste and Fill Down in Item Rows

When an entry has many item rows that need the same value - for example the same Machine No, Item or Rate on every row - you do not need to type or pick it again on each row. The item-row grid of every entry screen supports Excel-style copy, paste and fill down, including columns that you normally pick from a list.

Where to find it

Open any entry screen in Add or Edit and click a cell in the Grid/Item Section. Fill Down is in the right-click menu of the grid, and on the keyboard.

How to use it

Fill the same value into all rows below

  1. Enter or pick the value in the first row (for example Machine No 12 in row 1).
  2. Click that cell once so it is selected.
  3. Press Ctrl+D, or right-click the cell and choose Fill Down (Ctrl+D).
  4. The value is copied into the same column of every row below that already has entries. A green message tells you how many rows were filled.
  5. Check the rows and click Save as usual.

Copy and paste one cell

  1. Click the cell you want to copy and press Ctrl+C.
  2. Click the cell where you want it and press Ctrl+V.

Drag to fill a few rows

  1. Click the cell, then drag the small square at its bottom-right corner down over the rows you want to fill.

Notes

  • Fill Down stops at the last row that has entries; empty rows at the end of the grid are left blank.
  • Cells that cannot be edited are skipped.
  • For a column that you pick from a list (such as Machine No, Party or Item), the copied rows get exactly the same record as the first row, so they save correctly.
  • Fill Down needs a filled cell. If the selected cell is empty, a message asks you to select a filled cell.
  • Typing a letter or number in a pick-from-list column still opens the search list, as before.
