Add / Less Columns in the Bill Adjustment Grid

Bank Receipts, Bank Payments, Debit Notes and Credit Notes can show up to 10 extra adjustment columns in the Adjustments grid (for example TDS Amt, Less Amt, Interest or Add Amt). These columns are set up in Rec / Pay Add Less Custom Fields. Each column now has an Effect on Bill setting, so a column can either reduce the bill (LESS) or add to it (ADD).

Where to find it

  1. Open Rec / Pay Add Less Custom Fields from the menu (search for Rec / Pay Add Less).
  2. Open the column you want with Edit, or click Add for a new one.
  3. Choose Effect on Bill: LESS or ADD, and save.

How it works

  • LESS (the default, and how every column worked earlier): the amount is deducted from the bill. Example: bill 10,000, TDS Amt 100, Adjust 9,900 → Bill Bal. 0.
  • ADD: the amount is added to the bill, for example extra charges or interest collected with the bill. Example: bill 48,371, Add Amt 4, Adjust 48,375 → Bill Bal. 0.
  • Type the ADD amount as a normal positive figure, or fill the % column and let the amount be worked out as usual.
  • Auto set-off, the O/s Bills list, the bill status and the outstanding reports all take the ADD amount into account, so a bill settled with an added amount shows fully received.
  • Edit, View and the voucher print show the ADD amount as you typed it. If the column has a posting account, the amount is posted to that account as before.

Notes

  • Existing columns stay LESS until you change them, so nothing changes in your entries unless you choose ADD.
  • Change the setting before entering vouchers with that column. Entries saved earlier keep the effect they were saved with; ask support if older entries of an ADD column need to be corrected.
  • Keep TDS columns on LESS.
