Share a Ledger on WhatsApp or Email
The Ledger Report can send the ledger of an account as a PDF on WhatsApp or by email, straight from the report. On WhatsApp you can send it to the party's own mobile number, or type one or more numbers yourself.
Where to find it
- Open Reports > Ledger, select the account(s) and the period, and generate the report.
- At the right end of each account's heading (the shaded band with the account name and address), you see the icons WhatsApp, Email (shown when the account has an email address) and PDF.
How to use it
- Click the WhatsApp icon of the account.
- In the Send Ledger on WhatsApp window, choose one option:
- Send to Party - sends the ledger to the mobile number saved in the account (all numbers, when more than one is saved). It is greyed out when the account has no mobile number.
- Send Manually - type one or more mobile numbers, separated by a comma, space or new line (for example 9876543210, 9123456780). Each number appears as a tag below the box; a wrong entry is shown in red.
- Click Send (or press Enter; Ctrl+Enter inside the number box). The icon shows a spinner while the PDF is made and sent.
- A message confirms the numbers it was sent to. If some numbers could not be reached, the message lists them with the reason.
Send by Email
- Click the Email icon of the account.
- The window shows every email address saved in the account. Click Send to mail the ledger PDF to all of them.
Notes
- Numbers may be typed with or without the country code, spaces or a leading 0; up to 25 numbers can be sent at once. One ledger PDF is made and sent to every number.
- WhatsApp sending needs an active WhatsApp service for your company (Utility > Sms/Whatsapp API). Without it, the message reports an invalid WhatsApp licence and nothing is sent.
- Esc or Cancel closes the window without sending.
Send an Outstanding statement on WhatsApp (O/S Receipt / O/S Payment)
The bill-wise O/S Receipt and O/S Payment reports can send one party's outstanding bills as an A4 PDF statement on WhatsApp, the same way as the Ledger.
- Open Reports > O/S Receipt (or O/S Payment), set the criteria and generate the report (the bill-wise view, not Summary or Monthly).
- In the footer bar of the report, click the green WhatsApp icon (Send to Party on WhatsApp).
- In the Send Outstanding on WhatsApp window, pick the Party. Type in the search box to find a party quickly; the selected row's party is chosen by default. The window shows the number of bills and the balance due.
- Choose Send to Party (the mobile number saved in the account) or Send Manually (type one or more numbers separated by a comma, space or new line), then click Send.
- The icon shows a spinner while the statement is made and sent, and a message confirms the numbers it was sent to.
The statement shows your company name and logo, the party, the bill period, Payment Upto date, the balance due and every pending bill (Bill No, Date, Amount, Received/Paid, Returns, Balance, Days) with a total. Its figures are the same as the report for that party. The icon is shown when your company has an active WhatsApp service.
