Master Entry Merging in Merciglobal Cloud ERP

Overview

Merciglobal Cloud ERP offers a robust and user-friendly Master Entry Merging tool designed to maintain clean, accurate, and consolidated data across all master tables. This feature is especially beneficial for resolving issues arising from duplicate entries, migration inconsistencies, or user errors. With the Merging Option, administrators can seamlessly unify redundant master entries into a single authoritative recordโ€”eliminating the need for manual transaction-level cleanups.

Accessing the Merging Option

This feature is accessible exclusively to admin users and can be found in the following way:

  1. Navigate to the relevant Module Menu.
  2. Select the Merging Option.

Upon selection, a dual-tab interface appears:

  • CORRECT Tab ๐ŸŸข: Choose the accurate and final master entry.
  • WRONG Tab ๐Ÿ”ด: Select the duplicate or erroneous entries that need to be merged into the correct one.

After making selections, click on the green round "Proceed" button located at the bottom right to initiate the merge.

Backend Operations

Once confirmed, the system automates the following backend processes:

  • Link Updates: All transactions and related records that reference the master entry via LINKBROWSE are updated. The system substitutes the IDs of the incorrect entries with the ID of the correct entry.
  • Data Consistency: All database references now point to the unified, correct master record, ensuring data integrity across the ERP.
  • Permanent Deletion: The incorrect entries are irreversibly deleted from the master table post-merge.

Important Warnings

No Undo Merging is irreversible. Once completed, the merged data cannot be restored.
Shared Tables Merging may affect other companies or fiscal years if the table is shared.
Accounts Master A special case where merging impacts only the selected company's data.

Best Practices

  • Review your selections carefully before proceeding.
  • Confirm that the correct entry is indeed the final authoritative record.
  • Prefer performing merges during off-peak hours to avoid conflicts.
  • Regular database backups are strongly recommended.
