Master Entry Merging in Merciglobal Cloud ERP

Overview

Merciglobal Cloud ERP provides a powerful and intuitive feature that allows administrators to merge multiple master entries into a single, correct entry. This tool is highly useful for maintaining clean and accurate data across all master tables in the system. ✅

Whether due to duplicate data entry, migration inconsistencies, or user errors, the Merging Option enables users to seamlessly unify data records without manual cleanup in related transactions.


Accessing the Merging Option

This feature is available only to admin users and can be accessed through the module menu:

  1. Navigate to the appropriate Module Menu.
  2. Select Merging Option.

Upon selection, users are presented with a dual-tab interface:

  • CORRECT Tab 🟢: Select the one accurate master entry.
  • WRONG Tab 🔴: Select multiple incorrect or duplicate entries that need to be merged into the correct one.

Once selections are made, click on the green round "Proceed" button located at the bottom right to initiate the merge process.


What Happens in the Backend?

Upon confirmation, the system performs the following actions:

  • Link Updates: All transactions and related master entries where the current table is used as a LINKBROWSE are updated. The system automatically replaces all wrong entry IDs with the correct entry ID.

  • Data Consistency: This ensures all references now point to the correct entry, maintaining data integrity throughout the platform.

  • Physical Deletion: All wrong entries are permanently deleted from the original master table after successful merging.


Important Warnings

⚠️ Warning Details
No Undo Once merged, data cannot be restored. This action is irreversible.
Shared Tables If the master table is common across companies/years, the merging may impact other companies or fiscal years.
Accounts Master Special case: For the Accounts Master, only data for the currently selected company is affected.

Best Practices

  • Double-check your selections before proceeding with the merge.
  • Always ensure that the correct entry truly represents the accurate master record.
  • Use this feature during low-activity hours to prevent conflicts during data modification.
  • It’s recommended to take database backups periodically.

This feature is not limited to one module. It is available across all master tables in Merciglobal Cloud ERP, including but not limited to:

  • Accounts Master (with company-specific handling)
  • Product Master
  • Location Master
  • Employee Master
  • And all other Masters
